CASE STUDY: Event Organizer Uses FanFueled to Sell Out Party Buses. TWICE!

SITUATION:

Team Vintage organizes party buses that transport fans to popular out-of-city concerts and festivals. They set one up for the DMB Caravan earlier in the summer and for last week’s Pearl Jam Alpine Valley shows. These buses NEED to sell out in order for the event to be considered “successful.”

CHALLENGES:

•    If a bus isn’t filling up fast enough, the event organizer will cancel the party bus. Sales need to happy early and often for these events.
•    For both party buses, individual and multiple day tickets are sold. Because there are a limited number of seats on the bus, it is imperative that these don’t oversell.
•    Pick up and drop off locations can change at anytime. The event organizer needs a way to contact his ticket buyers.
•    Since the event isn’t directly affiliated with the concert, a lot of people will have questions about the details of the event.
•    With just a branded Facebook page, Team Vintage needs some help getting the word out about their party buses.

ACTIONS:

•    We posted the events on FanFueled weeks in advance and began promoting the party buses via Facebook and Twitter.
•    With a DIY platform an accessible analytics, we were able to adjust ticket availability based on seats remaining at a moments notice.
•    Through our downloadable guest list, the event organizer was able to grab every ticket buyer’s email address at any time.
•    Our customer service department was able to handle all questions quickly and efficiently without having to contact Team Vintage directly.
•    Through our custom sharing software, fans spread the word of Team Vintage’s party buses following ticket purchases. By incentivizing fans to share, posts about the party buses began popping up everywhere on Facebook and Twitter.

RESULTS:

•    Success!
•    Both the DMB Party Bus and the Pearl Jam Party Bus sold out almost a week before the event took place.
•    But don’t just take our word for it. Here’s what Team Vintage had to say: “Shows were unreal!!!  Thank you so much!!  Working with you guys has made my party busses 10x more organized and much easier for the customers to purchase tickets as well!”
•    We look forward to doing more and more party buses with Team Vintage and helping event planners across the country organize successful, awesome party buses!

    Having read this I thought it was very informative.
    I appreciate you taking the time and effort to put this information together.
    I once again find myself personally spending way too much time both reading and commenting.
    But so what, it was still worthwhile!
